Stored Variables
Store and reuse API keys, webhook URLs, and default values across flows.
What Are Stored Variables?
Stored variables are persistent key-value pairs that live in your workspace. They let you define a value once and reuse it across any number of flows. Instead of hardcoding an API key or webhook URL into every flow, you store it as a variable and reference it with {{var.VARIABLE_NAME}}.
Creating a Stored Variable
- Open the Notumation dashboard in your Notion workspace
- Click Settings in the sidebar
- Scroll to the Stored Variables section
- Click Add Variable
- Enter a name (uppercase with underscores is recommended, e.g.,
SLACK_WEBHOOK_URL) - Enter the value
- Click Save
The variable is immediately available in all your flows.
Referencing Variables in Flows
Use the {{var.}} prefix followed by the variable name in any text field:
{{var.SLACK_WEBHOOK_URL}}— in an HTTP Request URL field{{var.DEFAULT_STATUS}}— in an Update Page property value{{var.WELCOME_MESSAGE}}— in an Add Comment text field{{var.API_KEY}}— in an HTTP Request header value
Click the { } button in any text field to browse available stored variables.
Common Use Cases
API Keys and Tokens
Store API keys for external services (Slack, Discord, Stripe, etc.) as stored variables. This way, if a key rotates, you update it in one place and every flow picks up the change automatically.
Webhook URLs
Store incoming webhook URLs from Slack, Discord, or other services. When the URL changes, update the variable instead of editing every flow that uses it.
Default Values
Store default property values that you use across flows — a default assignee, a default status, a standard message template. When the default changes, update the variable once.
Environment-Specific Values
If you have staging and production Notion workspaces, use stored variables to hold environment-specific values like database IDs or API endpoints. Swap them when switching environments.
Security
Stored variable values are encrypted at rest in Notumation’s database. They are never exposed in:
- Flow exports — when you download a flow as JSON, variable references appear as
{{var.NAME}}but the actual values are not included - Execution logs — variable values are masked in log output
- Shared flows — duplicating or sharing a flow does not copy variable values
Only workspace members with admin access can view, create, edit, or delete stored variables.
Managing Variables
From the Settings page, you can:
- Edit a variable’s value by clicking on it and changing the text
- Delete a variable by clicking the trash icon next to it
- Search variables by name if you have many
Deleting a variable does not automatically update flows that reference it. Those flows will show {{var.DELETED_NAME}} as raw text in execution. Check the Troubleshooting guide for help with unresolved variables.
